Quick start

The shortest path to a working Ansera line

If you are new, complete these steps in order. Ansera shows your progress on Home under Get Ansera ready.

  1. Create your account, confirm the suggested market, and enter accurate business information.
  2. Choose your assistant voice and either get a new Ansera number or choose to forward an existing number.
  3. Activate a trial or subscription, verify your own mobile phone, and finish the Line & setup status checks.
  4. Add business knowledge, opening messages, business hours, and rules for transfers or unknown questions.
  5. Place a test call and send a test message before giving the number to customers.

1. Create an account and sign in

Use email and password or Sign in with Apple. One business should normally use one owner account, then invite team members from Operations Center.

Steps

  1. Open Ansera and choose Create account. Enter an email you can access and create a strong, unique password.
  2. If you use Sign in with Apple, you may choose Hide My Email. An address ending in privaterelay.appleid.com is normal and forwards mail through Apple.
  3. Complete any email confirmation that appears, then sign in with the same method you used when creating the account.
  4. If your paid plan appears missing, first confirm that you signed in with the exact account that made the purchase. For Apple purchases, use Restore Purchases on Plan & Billing.

Good to know

  • To sign out: open More, scroll to the account area, and choose Sign out.
  • Do not share your password or one-time verification codes with Ansera Support or anyone else.

2. Confirm your market and call language

Your market controls available phone numbers. The first Ansera release uses English throughout the app and on every call.

Steps

  1. During setup, review the market suggested from your device region. Choose United States or Canada yourself before continuing.
  2. The app interface, incoming calls, and outgoing calls use English in the first release.
  3. The country of an existing Ansera number does not change when your device region or language changes.

Good to know

  • U.S. and Canadian calls start directly in English without a language-selection menu.
  • Additional languages will be introduced only after separate speech-quality and real-device testing.
  • Future language resources remain separate so they can be enabled without destabilizing the English call stack.

3. Tell Ansera about your business

Accurate business details help the assistant answer correctly and are also used for phone-number trust and messaging registration.

Steps

  1. Open More → Set up your assistant → Business profile.
  2. Enter the legal or public business name, industry, address, website if available, service area, and a clear description of what you do.
  3. Add services, typical pricing guidance, policies, and the questions customers ask most often.
  4. Save each screen before leaving it. Reopen the screen and confirm that the information is still present.

Good to know: Write as if you were training a new receptionist. Use short facts, real prices or price ranges, and clear exceptions.

4. Get a number or forward an existing number

A new Ansera number is the simplest option. Forwarding lets customers keep calling a number they already know.

Steps

  1. During onboarding, choose New Ansera number or Forward my existing number.
  2. For a new number, choose an available U.S. or Canadian area code. Ansera provisions the full country code automatically.
  3. For forwarding, keep your existing carrier account active and follow that carrier’s call-forwarding instructions to send calls to the assigned Ansera number.
  4. Open More → Number & call routing → Phone number to confirm that the line shows Active.

Good to know

  • Forwarding can create charges from your existing carrier under that carrier’s plan. Those charges are separate from Ansera.
  • An area code does not by itself prove where the app was downloaded. The selected market and provisioned number country are the source of truth.

Important: Do not cancel an existing business number before forwarding and testing are complete. Canceling first can cause permanent loss of that number.

5. Activate and test the line

Line & setup status turns technical carrier work into a short list of actions you can complete and verify.

Steps

  1. Open Home → Get Ansera ready, or More → Number & call routing → Line & setup status.
  2. Complete the business profile and make sure a trial or paid plan is active.
  3. Verify your own mobile phone: enter the full number with country code, request the SMS code, enter the newest six-digit code, and tap Verify.
  4. Run the test call and answer it. Then run the test message and confirm that it reaches the verified handset.
  5. Open the optional details only if a step is pending or support asks for the technical status.

Good to know

  • A verification code expires and older codes stop working after a new code is requested.
  • “Accepted” or “Sent” means a carrier accepted the SMS. “Delivered” is the stronger confirmation that the destination carrier reported handset delivery.

6. Reduce Spam Risk and register business messaging

Caller labels and U.S. business messaging depend on carrier registrations. Ansera collects the needed facts and handles available submissions in the background.

Steps

  1. Open More → Number & call routing → Line & setup status and review Caller Trust and Messaging registration.
  2. Enter the authorized representative, business identity, address, tax/business identifiers when required, website or Ansera-hosted business pages, and truthful consent information.
  3. Use a caller ID name customers can recognize. Keep it short and consistent with your public business name.
  4. Submit and wait for the status to change. Carrier reviews are not instant and final labeling remains under the receiving carriers’ control.

Good to know

  • A newly activated number can temporarily show Spam Risk even after a successful call.
  • Ansera cannot guarantee that every phone or carrier will remove a spam label, but accurate registration and normal calling patterns improve the result.
  • Recipients must opt in before automated SMS. STOP requests must be honored; HELP must return assistance information.

7. Build the assistant’s knowledge

The assistant should use approved business facts instead of guessing.

Steps

  1. Open More → Set up your assistant → Business profile and complete the core business fields.
  2. Open Knowledge Center. Add services, service areas, policies, FAQs, approved website information, pricing guidance, and anything the assistant should know.
  3. Keep one subject per item and use direct language. Update or remove information when the business changes.
  4. Use Assistant Test Studio to ask realistic customer questions and correct any missing or unclear knowledge before taking live calls.

Important: Do not add passwords, payment-card numbers, private customer records, health information, or other secrets to general business knowledge.

8. Set greetings, voice, tone, and conversation rules

These settings control how Ansera sounds, what it must say, and when it should transfer or admit it does not know.

Steps

  1. Open More → Set up your assistant → Greeting & behavior.
  2. Enter a short English opening message. Include the business name and a simple offer to help.
  3. Choose Warm, Professional, or Concise tone. Add phrases the assistant must say, must not say, how to answer unknown questions, and when to transfer.
  4. Choose a standard voice or record an authorized voice sample. For cloning, use at least 15 seconds of clear speech in a quiet room and confirm that you own or have permission to use the voice.
  5. Save, then open Assistant Test Studio and listen to the complete English opening and response flow.

Good to know

  • The first release locks the complete conversation to English so recognition, reasoning, and speech generation use one tested stack.
  • If a cloned voice is unclear, slow, or silent, switch to a standard voice while recording a cleaner sample or contacting support.

9. Choose how incoming calls are handled

Call Flow decides whether your phone or the AI receptionist gets the first opportunity to answer.

Steps

  1. Open More → Number & call routing → Call flow.
  2. Choose Mobile first if you want your device to ring first and the AI to answer when you do not.
  3. Choose AI first if the assistant should answer and transfer to a person when the conversation requires it.
  4. Choose AI only if the assistant should handle the entire incoming-call entry point.
  5. Save and place a real call from a different phone. Test both answered and unanswered behavior.

Good to know

  • Mobile first requires notifications and incoming-call registration to work on the device.
  • Ansera is not an emergency service. Customers should use 911 or the applicable emergency number for emergencies.

10. Set business hours, missed-call replies, and voicemail

Use these settings to give callers a consistent experience when the business is closed or a person cannot answer.

Steps

  1. Open More → Number & call routing → Business hours. Enable hours, select the correct time zone, set open/close time for each day, mark closed days, and save.
  2. Open Missed-call auto reply. Enable it only if you want an SMS sent after a missed call, then write a short message that identifies the business and explains the next step.
  3. If the SMS assistant is enabled, choose whether it replies only during business hours and provide a fallback message.
  4. Open Calls → Voicemail to listen to voicemail recordings. Voicemail recordings are separate from the AI greeting settings.

Good to know: Test just before and just after closing time. A wrong time zone is the most common reason after-hours behavior looks incorrect.

11. Make and review calls

The Calls tab contains Favorites, Recents, Contacts, Keypad, and Voicemail.

Steps

  1. To make a normal person-to-person call, open Calls → Keypad, enter the full number, and tap Call. The customer sees the configured Ansera caller ID where carriers support it.
  2. Use Favorites for frequently called contacts, Recents for call history, Contacts to choose a saved customer, and Voicemail for recordings.
  3. Tap a completed call to open its detail page. Review direction, time, outcome, summary, transcript, intent, qualification, and follow-up context when available.
  4. Correct the customer record or knowledge if the transcript reveals a wrong name, service, date, or policy.

Good to know

  • Live-call quality depends on Wi-Fi/cellular stability, microphone access, carriers, and voice providers.
  • If recording is enabled, Ansera plays the configured recording notice. Follow the laws that apply to your business and callers.

12. Add and manage customers

Contacts keep calls, messages, language, notes, and follow-up context connected to the correct person.

Steps

  1. Open Contacts and use search to find an existing customer.
  2. Add a customer manually or allow contact access to import from the device when offered.
  3. Store the name, full phone number with country code, email, preferred customer language, and useful notes.
  4. Open the customer to call, message, review history, or continue a follow-up.

Important: Confirm the number and person before sending anything sensitive. Imported contacts can contain old or recycled numbers.

13. Send messages and use translation

Write in the language that is easiest for you; Ansera can preview what the customer will receive in the customer’s saved conversation language.

Steps

  1. Open Inbox and select the customer conversation.
  2. Confirm the customer’s language. It comes from the conversation/customer context—not from your phone’s display language.
  3. Write the message. Before sending, review Your message and Customer will receive.
  4. Check names, dates, phone numbers, prices, addresses, and links. Tap Confirm and send only when the customer-facing version is correct.
  5. Use Show original to compare translated and original text later.

Good to know

  • No translation needed means the written language already matches the saved customer language.
  • Ansera does not send the preview automatically. You remain in control of the final send action.
  • Automated and marketing messages require appropriate consent. Translation does not change consent requirements.

14. Understand delivery status and retry safely

Message status describes the carrier journey. A message shown in Ansera is not necessarily delivered to the handset yet.

Steps

  1. Open the conversation to see the latest message status.
  2. For failures, open More → Help & Support → Delivery Center.
  3. Read the plain-language failure reason. Correct the number, registration, consent, or content issue before retrying.
  4. Tap Retry once. Ansera uses duplicate-send protection and records the new carrier result.

Good to know

  • Queued: waiting to be sent. Accepted/Sent: accepted by the provider or carrier. Delivered: destination carrier reported delivery. Failed/Undelivered: not delivered.
  • Carrier filtering, an invalid number, STOP opt-out, registration status, or handset availability can prevent delivery.

15. Create quotes and appointments

Ansera can collect call details, prepare a quote draft, and book appointments when the related features are enabled.

Steps

  1. Open More → Quotes when it is available for your business type. Create or review the draft, customer, services, quantities, prices, notes, and status.
  2. Always review totals, scope, dates, taxes, and customer information before sharing a quote.
  3. Open More → Advanced → Calendar to connect Google Calendar when available and set the calendar used for appointments.
  4. Test availability and booking in Assistant Test Studio before allowing live callers to schedule.

Good to know

  • A generated quote is a draft until a responsible user reviews it.
  • Calendar availability is only as accurate as the connected calendar, time zone, and business hours.

16. Create and control automations

Automations can handle payment reminders, quote follow-ups, appointment confirmations, and other approved outreach.

Steps

  1. Open More → Automations and choose a supported automation type.
  2. Choose call, SMS, or email when available; select the recipient; write or review the content; and choose one-time or recurring schedule.
  3. Set the date, time, frequency, and end condition. Confirm the time zone.
  4. Confirm that you are responsible for using the automation lawfully and have the recipient consent required for the selected channel.
  5. Review the final summary, then schedule. Use Pause, Resume, or Cancel when the outreach should stop.
  6. Open Delivery history to see attempts, results, and safe retry options.

Important: Do not use automations for unsolicited robocalls, spam, emergencies, harassment, or contacts who opted out. You are responsible for recipient permission and message content.

17. Use Home, analytics, recaps, and notifications

Home shows the information that needs attention now; Analytics and recaps show broader performance.

Steps

  1. Use Home to confirm line status, finish setup, see today’s calls, upcoming automations, and follow-ups.
  2. Open Analytics to review calls, answered/missed outcomes, qualification, response patterns, and available language or tenant metrics.
  3. Open More → Notifications to control alerts and summaries. Allow iOS/Android notification permission if you want incoming-call and push alerts.
  4. Open More → Advanced → Daily recaps to configure or review recap behavior when enabled.

Good to know: If Home says everything looks good, there is no action required. Delivery failures stay in Delivery Center instead of being presented as a permanent home-page alarm.

18. Manage team members, extra lines, and integrations

Team, number, and integration tools stay separate from daily calls and messages.

Steps

  1. Open More → Operations Center to invite a work email and assign only the access that person needs. Remove access promptly when someone leaves.
  2. To add a number, open Plan & Billing on the Ansera website, enter a US or Canadian area code, and choose one of the available numbers. Each extra-line license is $4.99 per month and renews until canceled.
  3. After you choose the number, continue to secure Stripe checkout. Ansera purchases the selected number only after payment is confirmed.
  4. Carrier search results cannot be reserved before payment. If the selected number becomes unavailable during checkout, your paid line license remains valid and you can choose a replacement from More → Additional Lines without paying again.
  5. Extra lines share the main account’s calling, SMS, and automation allowances; they do not add another plan allowance.
  6. Manage or cancel each line license in the secure Stripe billing portal. A scheduled cancellation keeps the line active through the paid period, then Ansera releases that additional number.
  7. Use Integrations or Webhook only when connecting Ansera to another trusted business system. Copy secrets only into the intended system and rotate them if exposed.
  8. Use Ask Ansera or technical diagnostics when available for operational help; these do not replace emergency or professional advice.

19. Understand plans, billing, trials, and usage limits

Plan & Billing shows the active plan, renewal state, usage, payment provider, and any trial-number deadline.

Steps

  1. Open More → Plan & Billing.
  2. Review Starter, Business, and Unlimited allowances before subscribing. Choose the plan card you want.
  3. If you subscribed through Apple, manage or cancel in Apple Subscriptions and use Restore Purchases after reinstalling or changing devices. If you subscribed on the web, use the secure Stripe billing flow.
  4. Review current-period usage. At 80%, Ansera warns how much remains. When a capped feature reaches its limit, that feature pauses until renewal or an upgrade; there are no surprise overage charges.
  5. Paid subscriptions renew automatically until canceled. Cancellation stops future renewals according to the date shown by Apple or the billing portal.

Good to know

  • Starter includes 100 AI call minutes and 100 outbound SMS; automations are not included.
  • Business includes 300 AI call minutes, 300 outbound SMS, automations, and 300 automation emails. Automated calls/SMS share the applicable plan allowance.
  • Unlimited includes calls and standard SMS under fair-use protections, plus 300 automation call minutes, 500 automation SMS, and 500 automation emails.
  • During a free trial, Ansera shows the exact trial end and number-release deadline. If you do not subscribe before the grace period ends, the trial number can be released and may not be recoverable.

20. Protect the account and manage data

Use account security and export tools to control access and retain the records your business needs.

Steps

  1. Open More → Account & Security to review the signed-in email, password options, active account information, and sign-out controls.
  2. Use a unique password, protect the email account connected to Ansera, and do not share one-time codes.
  3. Export contacts, calls/transcripts, or messages only when needed. Store downloaded CSV or PDF files securely because they can contain customer information.
  4. Review Privacy Policy, Privacy choices, and Terms of Use from Help & Support.
  5. To permanently delete the account, open More → Help & Support → Delete Account, read the consequences, and confirm. Deletion cannot be undone, subject to legal retention requirements.

Important: Signing out removes access from the device; deleting the account permanently removes associated business data. These are different actions.

21. Troubleshoot common problems

Start with the simplest checks, then send support enough detail to trace the exact event.

Steps

  1. App will not open or is slow: confirm a stable connection, force-close and reopen once, then check that the installed version is current. The first launch after an update can take longer while local data is prepared.
  2. Calls do not ring: check that the line and plan are active, notifications and microphone permission are allowed, Call Flow is correct, and Focus/Do Not Disturb is not blocking alerts.
  3. Assistant is silent or slow: test another network, confirm the selected language and voice, switch temporarily to a standard voice, and note the call time for support.
  4. SMS says sent but is missing: wait for the final carrier status, verify the destination number and consent, then check Delivery Center.
  5. Verification code fails: request one new code, use only the newest code, enter it before expiry, and confirm the full phone number with country code.
  6. Plan is missing: verify the signed-in account and payment provider. For Apple, use Restore Purchases. For web billing, return to Plan & Billing after payment completes.
  7. Spam Risk appears: finish Caller Trust, use consistent business identity, avoid sudden high-volume or short-duration calling patterns, and allow carriers time to update.

Good to know

  • When contacting support, include the time zone and approximate date/time, but never include passwords or one-time codes.

22. Web, iPhone, Android, and accessibility

The same account and core business data are shared, but some device features and payment options differ by platform.

Steps

  1. Use the mobile app for incoming-call handling, device contacts, push notifications, keypad calls, and on-the-go work.
  2. Use the web dashboard for a larger view of records, setup, reporting, exports, and supported billing management.
  3. If a feature looks different, confirm that web and mobile are signed into the same account and both are current.
  4. On iPhone or Android, use the system text-size and screen-reader settings. Critical controls are designed with accessible labels and touch targets; report any screen that becomes unreadable at your preferred text size.

Good to know: Feature availability can depend on market, plan, role, device permission, carrier registration, and controlled rollout status.
